Purpose of the Job
The successful candidate must warmly welcome visitors and effectively manage the switchboard to ensure that calls are correctly and efficiently routed and that messages are delivered to the right staff without delay.
Key performance areas will include switchboard management and reception.
Answer all incoming calls, provide detailed and relevant information to the caller and transfer the call to the appropriate source if requested.Relay messages to the proper location within the organization, which may entail writing down the contact details of the person who called and providing it to the relevant individual.
Manage boardroom bookings.
Ensure compliance with security procedures by monitoring logbooks, issuing visitor badges and hot works permits.Keep a safe and clean reception area by complying with procedures, rules, and regulations.
Grade 12 qualification
1+ year experience as a receptionist and working with switchboard.Knowledge and SkillsKnowledge of switchboards and phone systemsExcellent telephone etiquette and good language skillsGood communication skills both verbal and written.Punctual and must be able to work under pressureFluent in English as well as at least one other official language
