Motus FORD KEMPTON PARD has an opportunity available for a PARTS ADMIN CLERK. Reporting to the Parts Manager, the person in this position will be responsible for control the work flow of paper work pertaining to parts purchases, sales, credits and orders.

Position Overview

Reporting to the Parts Manager, the person in this position will be responsible for control the work flow of paper work pertaining to parts purchases, sales, credits and orders.

Specific Role Responsibilities
Key Duties and Responsibilities:

Do daily ordering

Do stock order from DMS printout [after being checked and approved by the Manager].Enter stock orders and daily orders into stockEnsure that the correct parts are received at the correct pricesPerform DRs, RFCs and price discrepancies when requiredClear negative stock from DMS report received from the Manager as instructedAssist with stock take when requiredPerform inputs from count sheets for stock takesPerform stock adjustments once authorized by the ManagerEnsure the highest levels of service when receiving parts and assisting with any customer queryEnsure clear communication with customers, parts manager, salespeople, stores people and driversDiscuss all parts stock related queries with the ManagerInform the Manager of any parts related problemFollow up customer queries relating to credits and P.O.D.sFile invoices, purchases and credits receivedFollow up credits not receivedReconcile creditor’s accounts [including AMSA] for paymentFollow up on accounts reconciliation queriesEnsure GIS/ GRN account is up to dateReceive cash sales and prepare the banking of cash and COD salesEnsure cash account is up to date and any outstanding payment is justified.Record and monitor short supplied, over supplied, incorrect supplies from suppliersEnsure that all cash received is secureIssue credit notes once the Manager has authorizedMaintain housekeeping duties and keep work area clean and tidy at all timesAttend meetings and designated training courses when requiredCarry out any other reasonable task which may be required from time to time.Order and control accessory stock and gifts.

Qualifications and Experience

A minimum of Grade 12
Clear criminal record
Knowledge of Evolve will be an advantage.
Must have excellent verbal communication skills.
Customer and Team Orientation
Motor industry experience is essential.
Computer literacy is essential
