Job Description

Job purpose statement:

To provide administration support to the FAM and other members in the department.

Focus areas of the role:

  • Administrative support
  • Fitness for Duty management

Qualifications and experience required for the position:

SAQA accredited Certificate/Diploma in administrative field or equivalent level of tertiary education + 2 years related experience.
Experience in the nuclear environment is beneficial.

Key Tasks:

Assist in coordinating departmental correspondence/documents – i.e. delivering, filing, e-mailing, etc.
Take and circulate minutes of departmental meetings.
Coordinate venue bookings and departmental meetings.
Copying, scanning & printing of documents.
Control of stationery and printing requirements i.e. order supplies via Procurement, organising maintenance to printers via IT, etc.
Answering of phones and directing calls.
Prepare presentations, letters, general typing,etc.
Control departmental petty cash.
Muster station point controller.
Organising refreshments for meetings.
Assist with access and hosting for visitors.
Assist in controlling Lesedi transport for delivery/collections.

Any other general administration actions required by the FAM/Construction Manager for the benefit of the department or PMs/CLs to the benefit of the project.

Maintain FFD expiry date spreadsheet.Communicate expiry dates.Assist with making booking for FFD training.Print FFD forms & assist with man-job spec forms.Knowledge:Knowledge in office administration practicesSkills:Proven proficiency in MS Word, Excel, PowerPoint & Acrobat.Work methodically with attention to detail.Behaviours/Personal Attributes:Helpful & responsive nature.Ask FAM/Construction Manager if not sure on priority of tasks.Comply with the Lesedi Quality Management System.Demonstrate a cooperative attitude working in a team environment and respect colleagues.Act in the interest of the company at all times.

Respect deadlines and milestones.
Act with honesty, integrity and reliability at all times.
Independently initiate activities through self-motivation and assist others during quiet periods.
Inform FAM if not having enough workload for effective/productive time usage.
Provide regular and accurate feedback on progress and issues.
Perform professionally at all times – internal, external (Client, suppliers & partners).
Compliance with general HR rules – time booking, leave booking, time keeping, effective time usage, etc.
