Job Description

Dis-Chem Pharmacies Distribution Centre in Midrand has an opportunity available for a DC Dispatch Clerk to join the team. The main purpose of this role will be to maintain operational excellence within the Dispatch Department by performing clerical functions in the following areas – Marshalling and/ or Staging Dispatch, in order to meet both legal and customer requirements.

Essential:

Grade 12 / Matric
Transport Management or Supply-Chain / Logistics Degree or Diploma
Previous work experience in a similar environment
Job Specification…

Ensure optimal route and space planning to meet the day-to-day strategic objectives.
Understand and execute the planning process involved when stock leaves the distribution centre.
Ensure all deliveries picked the previous day, are delivered the next day to local stores and within 48 hours to Coastal stores.
Arrange returns and collection of the upliftments, which must be tracked throughout the return process.
Manage the process flow within the return cage, as per Dis-Chem standard and operational requirements.
Adhere to and deliver against shift specific targets with a high level of accuracy.
Ensure accurate administration for transactional excellence.
Adhere to Good Warehousing Practises, SHE programme and Occupational Health and Safety act.
Ensure department’s consumable needs are met.
Ensure drivers are debriefed, paperwork is filled and queries resolved.
Ensure admin and daily checking of all delivery log sheets takes place, to facilitate queries and credit note request.
Ensure all relevant clerical functions in the department are performed in an effective and efficient manner according to standard operating procedures.
Ensure all customer queries are resolved within 24 hours.
Effectively and efficiently resolve internal and external day-to-day queries.
Maintain functional relationships with all internal and external customers to improve operating efficiencies.
Prevent and act on security or risk issues and ensure that risks are dealt with proactively.
Assist outsourced companies, including daily and monthly monitoring of SLA`s and costs.
Analyse and interpret any shrinkage indicators and act accordingly.
Ensure a high level of accuracy is maintained during checking of completed warehouse orders and compare packed boxes to store invoice details.
Ensure stock is packed in a manner that will prevent cross-contamination and damages heavier boxes at the bottom of the pallet and lighter on the top.
Ensure all goods received in dispatch are labelled with stickers which indicate the store name/ invoice number and number of boxes.
Ensure that all goods dispatched, are accompanied by an invoice and are correct in all aspects.
Ensure that all goods are dispatched, in a roll-cage and all store invoices related to that cage are attached.
Before dispatch, all relevant detail is to be recorded in the dispatch book, the roll-cage number must be recorded and then sealed, before being handed over in the vacuum-cage to retail for dispatch.
Record, file and attach all the necessary Courier requirements for all overnight deliveries.
Do not allow stock to be removed from warehouse, without proper documentation, signatures in dispatch book or the approval of the Department manager or Responsible Pharmacist.
Before writing the invoices in the delivery log sheet books, check all invoices that they are for the designated store and the correct book is used.
Ensure that high standards of accuracy are maintained in the writing up of delivery log sheet books and check that all invoices are for the designated store.
Ensure that all cross dock and inter branch invoices are recorded according to invoice number and correct store.
Ensure that all goods loaded on any vehicle are recorded according to the standard operating procedure.
Ensure that the driver signs all the relevant documentation, and that the driver has all invoices and delivery log sheets with them before leaving the warehouse.
Daily check sheets must be completed and handed in to the POD Clerk at the end of the shift.
Ensure that all goods dispatched, are accompanied by an invoice and are correct in all aspects.
Record, file and attach all the necessary courier requirements for all overnight deliveries.
Daily check sheets to be completed and handed to the Dispatch Manager.
Do not allow stock to be removed from warehouse, without proper documentation, signatures in dispatch book or the approval of the Department manager.
Before scanning, check all the boxes are for designated store.
Daily Pallet scanning monitor sheets must be completed and handed in to the Supervisor at the end of the shift.
