Job Description
The Project Administrator is responsible for the sending, receiving and analyzing of tenders. The receiving,
processing and payment of contractor’s and suppliers’ invoices. The project financial report, Reconciliation
and supporting the Head of Quantity Surveying administrative requirements.
Minimum Requirements
Matric or NQF level4
5 years experience as a Project Coordinator & Administrator
Duties and Responsibilities
Tender Administration
Requesting tender submissions
Management of the submission process including timing and dealing with queries
Participates in the assessment of competitive tenders, making recommendations and reporting thereon
Analyze with Quantity Surveying to make appointments
Issuing of letters of appointment and purchase orders
Project Administration
Receive invoices and reconcile them to purchase orders
Acquire sign-off for processing
Submit to finance for processing and payment
Deal with any general invoice queries or issues including correction of invoices, statement requests etc.
Submit remittances to suppliers and contractors
Follow up on payments
Request to load new vendor applications by submitting details to finance
Weekly submission of project financial report
Support the Project Reconciliation process
Administrative support
Filing and archiving of project financial documentation
General administrative support to the Head of Quantity Surveying
Stock Management and Control
Review stock orders and coordinate sending and receiving of stock
Ensure that stock is charged out correctly
Maintaining of stock register
Stock counts and audits
