Komatsu Is Hiring: Receptionist – Klipfontein, eMalahleni

Job Specification (not totally inclusive)

Operating the switchboard by answering all incoming calls and ensuring they are transferred to the appropriate personnel;

Welcoming visitors and ensuring they are collected from reception by appropriate personnel;

Reporting all telephone extensions that are not working to IT;

Updating the telephone extension list and distributing it to all Marketing, Service and Sales users;

Booking interview appointments for shortlisted candidates and ensuring boardrooms are booked for interviews;

Assisting Customer Training with ordering refreshments for booked training sessions and submit invoices to finance for payment;

Creating purchase requisitions on SAP for stationery and kitchen supplies and submitting invoices for payment;

Responsible for leave administration by loading all manual leave forms on Sage 300 and providing Leave reports to management on a monthly basis; and

Opening personnel files for new employees and filling all documents in personnel files.

Minimum Skills required.

Grade 12;

Qualification/certificate in office management or related field is required;

HR Diploma or studying towards a HR Diploma will be advantageous;

Prior experience as a switchboard operator and receptionist; and

Good knowledge of Microsoft office and SAP/R3.

Behavioural Competencies required.

Must have excellent written and verbal communication skills;

Must have high degree of professionalism and judgement with the ability to maintain a high level of confidentiality; and

Must have a positive approach when dealing with a wide range of people including senior stakeholders.
