Qualifications, Experience & Competencies

Minumum Qualifications

Grade 12.

Qualification in Customer Service and or Office Administrations. Advantageous.

Experience and Knowledge required

Proven experience as a receptionist or in a similar customer-facing role.

Excellent verbal and written communication skills.

Professional demeanor with strong customer service orientation.

Highly organized with a keen eye for detail.

Ability to multitask and adapt to changing priorities.

Familiarity with HR administrative processes is desirable.

Proficiency in basic computer applications and office equipment.

Ability to work well under pressure and handle challenging situations with tact.

Strong problem-solving skills and ability to collaborate effectively with cross-functional teams.

Skills required for the position:

Front Desk Operations

Professionally greet and welcome visitors, clients, and guests.

Maintain a warm and friendly atmosphere in the reception area.

Coordinate and direct phone calls to the appropriate staff members.

Take messages accurately and relay them promptly to the intended recipients.

Maintain a neat and well-organized front desk area.

Company/Employee Directory/Contact Management

Maintain an up-to-date Company/Employee directory/contact list, including office locations and relevant contact persons.

Regularly update and distribute the contact list to relevant stakeholders.

Coordinate with HR to ensure accuracy and completeness of employee information.

Warehouse and Mortuary Coordination: 

Ensure coordination with different warehouses and mortuaries, including FSP (Funeral Service Provider) branches.

Communicate effectively with these locations to facilitate efficient operations.

Provide necessary administrative support for smooth coordination.

Administrative Support:

Provide ad-hoc administrative task support to Memorials, Business Development and Call Center as and when required.

Support Business in areas such as scheduling interviews, booking of Boardrooms and coordinating employee engagement activities.

Stationary Management:

Oversee the ordering and dispatching of stationary for relevant Departments across Icebolethu Group.

Maintain appropriate stock levels and ensure timely delivery to various departments.

Coordinate with different teams to gather stationary requirements and provide relevant support in managing stationary expenses
