Introduction
This position will be based at the Head Office in Woodmead
Description
This position is responsible for providing switchboard, secretarial, clerical and administrative support in order to ensure that Head Office services are provided in an effective and efficient manner, contributing towards the image of the Company.
Duties and Responsibilities
Receive and direct calls and relay telephone messages to the relevant personnel or department
Receive visitors to the organisation, determining their needs and directing them accordingly
Provide office support services (typing, clerical or secretarial duties) in order to ensure efficiency and effectiveness within Head Office
Answer general queries and direct them to the relevant personnel or departmentAcceptance of deliveries / goods and distributing to the relevant personnel or departmentAssist in the planning and preparation of meetings, conferences etc.Management of the office boardrooms
Assist with preparations for MANCO meetingsMaintain an adequate inventory of office supplies, including ordering and distributing of suppliesProvide administrative services to all MANCO members
Distribution of mail from Head Office to the Minopex sites
Coordinating travel and accommodation bookings through the travel agent
Qualification Requirements
Grade 12 Secretarial or related qualification will be advantageous
Experience and Skills Requirements
Minimum 2 to 3 years’ experience in a reception positionComputer literate in MS OfficeExcellent communication and interpersonal skills
Excellent planning and coordinating skills
Professional etiquetteGood time management skills
