The Main Purpose of the job

The receptionist is the first point of contact for clients and visitors is expected to represent our company in a positive and welcoming manner. The receptionist will be responsible for handling all incoming telephone calls, directing customer service inquiries, handling of reception services and general administrative tasks.

Education and Experience required:

Matric/Grade 12
At least 2 years’ experience in a similar role
Knowledge, Skills and Competencies:

Excellent interpersonal skills.
Enthusiastic and lively demeanor.
High customer service orientation.
High attention to detail.
A good command of the English language (Verbal communication, and written communication).
Positive attitude.
Problem solving ability.
Ability to use own initiative.
Computer literate
Ability to maintain confidentiality.
Key Responsibilities

Switchboard

Manage all incoming calls and direct them to the relevant persons or departments.
Update and distribute the telephone extension list.
Record and distribute messages when staff are unavailable.
Assist with confirming employment of staff in the company where applicable.
Reception

Receive and assist visitors upon arrival at reception.
Advise the relevant party of the visitor’s arrival.
Prepare the reception area for each working day and have all front desk activities fully operational at the start of business hours.
Ensure that reception area is always neat and tidy.
Receive and sign an acknowledgment of receipt of deliveries.
Receive and distribute deliveries to the relevant persons or department.
Distribute packages via the relevant courier service.
Sorting and distributing mail.
Reporting faults with the switchboard and logging calls.
Ensure that staff and visitors’ parking tickets are correctly validated.
Administrative support

Maintain and distribute office stationery supplies and keep inventory up to date.
Assist with administrative duties, including preparation for events and meetings, copying, scanning, and binding of documents.
Any other duties required.
