Job Description

Dis-Chem Pharmacies Distribution Centre in kwaZulu-Natal (New Germany) has an opportunity available for a DC Admin Clerk (OHS & Facilities) to join their team. The main purpose of this position is to achieve operational excellence within the Dis-Chem Distribution Warehouse by performing general administration and clerical duties in one or more of the following departments, Dispatch, Replenishment or the Health and Safety Department, in order to meet both legal and customer requirements. Responsible to deliver on specified roles and responsibilities within the primary department or area you are assigned in. Implement and maintain all current Health & Safety policies according to Dis-Chem standards and general regulations.

Minimum Requirements:
Essential:

Grade 12 – Matric or a Senior Certificate

Minimum of 1-2 years’ experience in a Distribution Centre environmentResponsibilities:

Customer Service::Respond promptly to queries relating to Distribution discrepancies and inform management of any unresolved matters.Resolve day-to-day customer queries in an effective and efficient manner and within agreed turn-around timeEnsure effective and efficient relationships with internal and external customers to improve operating efficiencies.

General Administration and Reporting:
Ensure daily reporting to management on all related issues (i.e., missing items/equipment, missed and sent collections, Vehicle reports, Trackmatic reports.).
Report all damaged goods, equipment, variances, and errors to management.
Identify any discrepancies occurring in the dispatch and inform the Manager.
Ensure accurate administration for transactional excellence.
Adhere to GWP, SHE programmes and OHS act.
Ensure department’s consumable needs are met.
Ensure debriefing of drivers, filling of paperwork and resolve related queries.
Ensure admin and daily checking of all delivery log sheets takes place, to facilitate queries and credit note request.
Monitor fleet running cost and diesel usage.
Assist in the facilitation of vehicle maintenance and accurate vehicle documentation record keeping
Assist the facilitation of inter-branch transfers
Ensure accurate record keeping of all stock coming in and leaving the department.
Ensure accurate reporting and filling is done on all levels in the department.
Notify the Call Centre by sending an e-mail when there is no stock available, then do a pick denial of the stock on the system.
Start and End of shift Handovers must be sent to the relevant Managers daily.
Ensure all machine checklists are completed and handed to management daily.
Report any health and safety hazards to ensure ultimate safety in the distribution centre

Health and Safety:
operational standards concerning safety measures and requirements for Dis-Chem.
Conduct on-going environmental, health and safety assessments on the site.
Assist with Health & Safety incident/ accident investigation and write accurate reports on these.
Maintain proper administration documents for all relevant activities for auditing and reporting purposes.
Ensure that the facility operates efficiently by overseeing both the employees and the equipment on a daily basis.
Oversee the cleaning and maintenance of the designated facility according to Dis-Chem standards.
Assist in ensuring the facility meets government regulations and environmental, health and safety standards.
Ensure all compliance directives – work closely with other departments to ensure compliance to all relevant quality, health and safety, environmental and information protection guidelines.

Inspection and Audits:

Conduct visual inspections regarding storing of equipment e.g. ladders, machinery etc. as well as general house-keepingContributing to the organizational goal of Best Practice Health and Safety managementAssist in monitor compliance of OH&S activities throughout the Distribution CentreAssist in conducting workplace OH&S assessments where risks are identified.

Competencies/skills required:

English –Read, write and speakKnowledge of Distribution Centre, logistics and supply chain operationsComputer skills – Microsoft Office (Word, Excel, PowerPoint, Outlook)Addresses customers questions in a timely manner

Special conditions of employment:

South African Citizen
MIE, no criminal record, and clear credit rating
Driver’s license and/or own reliable transport
